Service Project Coordinator & Document Controller

Job Responsibilities

• Coordinating service project schedules, resources, equipment and information;
• Liaising with clients to identify and define service project requirements and needs;
• Ensuring that clients’ needs are met as the project evolves;
• Manage the status of project documents, contracts;
• Prepare, update and follow the established procedures to ensure proper and timely document management and control;
• Assisting in the handover of all as built documentation to the client;
• Coordinate all activities related to the Document Control procedure, including receipt, maintenance, approval documents, and commercial correspondence;
• Scan, image, organize and maintain documents, adhering to the company's document lifecycle procedures;
• Input document data into the standard registers ensuring that the information is accurate and up to date;
• Generate the various document control reports as required;
• Responsible for issuing official documents;
• Communicates with internal and external supplier contacts regarding to procurement of spare parts;
• Understanding the work process of project and related function;
• Makes sure that controlled copies of latest approved documents are given to the appropriate staff, subcontractors as applicable.

Requirements

• Higher Education
• Minimum 5 years related work experience in documentation and control
• Knowledge of Azerbaijani (Fluent), English (Upper intermediate)
• Ability to keep clear and accurate records and reports.
• Ability to use computer and rapidly input data and retrieve records and information.
• Ability to organize work load and to manage a filing methods and management techniques
• Strong MS Office (Word, Excel, PowerPoint, Outlook) skills
• Ability to prioritize, manage time well, multitask and troubleshoot.
• Strong interpersonal, communication and customer service skills

• Good Communication skills
