Office Assistant
POSITION PURPOSE:
Responsible for Assistants of General Manager to provide a full range of secretarial services (heavy calendar and contact management) and other levels of staff duties, communicate and handle incoming and outgoing communications, telephone work, fixing meetings and to assist them with preparation of presentation materials.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
o To be responsible for calendar management of Assistants of General Manager, requiring interaction with both internal and external executives and other contacts.
o To assist Assistants of General Manager for the preparation of the presentations.
o To follow up Assistants of General Manager’s invoices and to make data entries to SAP and e-forms.
o To arrange travel schedule and reservations for executive management when needed.
o To provide and coordinates office supports to Assistants of General Manager.
o To manage all meeting and travel arrangements, including flight and hotel organizations.
o To plan and to arrange (complex) travel itineraries and processes expenses.
o To follow up distributions of official documents and correspondences and to put them in files in order.
o To follow and prepare necessary documents.
o To review and summarize miscellaneous reports and documents.
o To answer incoming calls and and direct all calls, priorities and responds as appropriate.
o To be able to act on routine problems independently.
o To perform all other secretarial responsibilities.
